The job holder is responsible for organizing, facilitating, following up on, and administering documentation, reports, meetings, and information that support communications, finance, administration, performance, training, and travel, ensuring the smooth running of the MD & GM's office. Description
General Administration
- Provide support to the MD & GM as needed, including word processing, transcription, information research, filing, taking and directing phone messages, and drafting memos, financial reports, and other reports as required.
- Liaise and communicate with other departments or external parties to provide or request information (e.g., financial, performance, calendar, HR-related).
- Manage office supplies, computers, and other hardware requests, and follow up on office facilities in line with company policies and procedures.
- Arrange conferences and meetings for the MD & GM's office, including those involving other departments, and manage related room logistics.
- Handle all administrative tasks for the MD & GM's office, including scheduling appointments, processing mail, answering phones, ordering supplies, and necessary follow-ups.
- Coordinate all travel arrangements for the MD & GM, including researching and booking flights, hotels, and rental cars in line with policy and the executive's schedule.
Office Efficiency
- Operate and maintain office equipment, arrange repairs as needed, and recommend new or additional equipment when appropriate.
- Plan and implement office systems, layout, and equipment procurement; maintain inventory levels and anticipate supply needs.
Monitoring & Reporting
- Provide timely management information to track the status of the MD & GM's office on a weekly and monthly basis.
- Summarize information into concise presentations and reports to keep the MD & GM informed of key updates.
