Job Purpose
The Project Coordinator supports the Project Manager in the day-to-day administration and coordination of the Independent Safety Manpower Services contract. The role ensures effective manpower mobilization, reporting, documentation, client coordination, and communication between Operations, HR, Finance, and field teams.
Key Responsibilities
- Support the Project Manager in coordinating daily project activities.
- Coordinate manpower mobilization, demobilization, deployment, and rotation schedules.
- Monitor staffing levels and ensure manpower requirements are fulfilled.
- Coordinate with HR for recruitment, onboarding, visas, medical examinations, travel arrangements, accommodation, transportation, and employee documentation.
- Coordinate with the client to ensure all mobilization requirements are completed before deployment.
- Process and monitor gate passes, client IDs, site access permits, security clearances, and other client-specific onboarding requirements.
- Ensure all employees meet the client's mandatory requirements, including certifications, training, medical fitness, documentation, and compliance prior to mobilization.
- Act as the focal point for day-to-day communication with the client regarding manpower, mobilization, site access, and operational matters.
- Prepare and maintain manpower mobilization trackers, gate pass trackers, training matrices, and employee status reports.
- Prepare daily, weekly, and monthly project reports, dashboards, and manpower trackers.
- Maintain project documentation and ensure proper document control.
- Coordinate timesheets, attendance records, leave schedules, and payroll inputs with the relevant departments.
- Schedule meetings, prepare meeting minutes, and follow up on action items.
- Coordinate with Procurement, Logistics, Finance, HR, and Operations to ensure timely completion of all project requirements.
- Ensure compliance with company procedures, contractual obligations, and client requirements.
- Support internal and external audits and maintain confidentiality of project information.
- Identify project risks related to manpower mobilization and proactively escalate issues to the Project Manager with recommended solutions.
Qualifications
- Bachelor's degree in Business Administration, Project Management, Engineering.
- Project Management certification is an advantage.
Experience
- 1-2 years of project coordination, administration, or manpower services experience.
- Experience in oil & gas, mining, petrochemical, construction, or industrial projects is preferred.
Skills
- Excellent organizational and communication skills.
- Advanced Microsoft Excel and Microsoft Office.
- Strong analytical and problem-solving skills.
- Ability to manage multiple priorities.
