Role Description
To ensure timely and accurate processing of supplier invoices, payments, reconciliations, and maintenance of accounts payable records in compliance with company policies and accounting standards.
Key Responsibilities
Invoice Processing
- Verify and process supplier invoices accurately and on time.
- Match invoices with Purchase Orders (POs), Goods Received Notes (GRNs), and supporting documents.
- Ensure proper authorization before posting invoices.
Vendor Management
- Maintain vendors master data and records.
- Respond to supplier inquiries regarding payments and account balances.
- Reconcile vendor statements and resolve discrepancies.
Payment Processing
- Prepare payment schedules for management approval.
- Process payments through bank transfers, cheques, and other approved methods.
- Ensure payments are made according to agreed credit terms.
Reconciliation & Reporting
- Perform monthly accounts payable reconciliations.
- Prepare AP aging reports and outstanding liability reports.
- Assist in month-end and year-end closing activities.
Audit Compliance & Controls
- Ensure compliance with company policies, accounting procedures, and tax regulations.
- Maintain proper filing and documentation of invoices and payment records.
- Support internal and external audits by providing required documentation.
General Accounting Support
- Assist with accruals and provisions related to supplier expenses.
- Coordinate with procurement, operations, and other departments to resolve invoice issues.
- Support finance team in various accounting and reporting activities.
Qualifications
- Bachelor's degree in accounting, Finance, or related field.
- More than 5 years of experience in Accounts Payable or General Accounting.
- Knowledge of ERP systems
- Good proficiency in Microsoft Excel.
