Job Summary
The HR Coordinator - Onboarding is responsible for managing the end-to-end onboarding process for new employees, ensuring a smooth transition from offer acceptance to arrival and joining. This role coordinates visa processing, documentation, travel, and accommodation while maintaining effective communication with candidates, HR, and external agencies.
Key Responsibilities
- Coordinate onboarding activities from offer acceptance to joining
- Follow up on candidate documentation (passport, certificates, attestation, etc.)
- Track visa processing status and ensure timely issuance
- Coordinate travel arrangements including flight bookings and arrival schedules
- Arrange accommodation and ensure readiness prior to employee arrival
- Maintain onboarding trackers and ensure data accuracy (visa, arrival, joining status)
- Liaise with recruitment agencies and government relations team for visa and documentation matters
- Communicate regularly with candidates, providing updates on onboarding progress
- Support joining formalities such as contract signing, HR documentation, and system updates
- Coordinate airport pickup and site arrival arrangements
- Escalate delays or non-responsive candidates to HR leadership
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or related field
- 1 year of HR experience, preferably in onboarding or recruitment coordination
- Experience handling visa processes, onboarding, or international hiring (preferred)
- Strong knowledge of MS Office (Excel, Word, Outlook)
