Scope of work: EHS Safety Officer Panda Warehouse

1. Position:

The EHS Safety Officer is responsible for the full Environment, Health & Safety management system across the entire Panda Warehouse facility, including the integrated car workshop/vehicle maintenance area. The role ensures legal compliance, risk control, incident prevention, environmental protection, and continuous improvement of EHS performance for all warehouse operations, material handling, storage, logistics activities, and vehicle repair/maintenance work.

2. Core Objectives

• Zero harm to people, environment, and assets.

• Full compliance with applicable local EHS legislation, company standards, and international best practices (ISO 45001, ISO 14001 principles).

• Proactive identification and control of all significant risks arising from warehouse operations and car workshop activities.

• Development of a strong safety culture through training, engagement, and visible leadership.

3. Detailed

• A. Safety Management full facilities.
• Develop, implement, and maintain the site EHS Management System, policies, procedures, and safe work method statements.
• Conduct comprehensive risk assessments, Job Safety Analyses (JSA/JHA), and hazard identification for all activities, including:

-Material handling, forklift/reach truck operations, pallet racking, loading/unloading docks, and traffic management.

-workshop activities: vehicle lifts, pit work, welding, grinding, painting, battery handling, tyre changing, and use of power tools.

• Perform daily, weekly, and monthly site inspections and formal audits covering:

-Warehouse racking integrity, storage conditions, and housekeeping.

-Workshop equipment (vehicle lifts, compressors, electrical tools, LOTO points).

-Fire detection/suppression systems, emergency exits, and spill control equipment.

• Manage Permit-to-Work system (hot work, confined space, working at height, electrical isolation, etc.).

• Oversee Lock-Out/Tag-Out (LOTO) procedures for all powered equipment and vehicles under maintenance.

• Control of work at height, forklift/pedestrian segregation, and traffic management plans.

• Investigate all incidents, near misses, and dangerous occurrences; prepare root-cause analysis reports and track corrective/preventive actions to closure.

• Maintain accurate EHS records, statistics, and leading/lagging indicators.

B. Occupational Health

• Identify and control occupational health hazards: noise, vibration, dust, fumes (exhaust, welding, solvents, paints), chemical exposure, manual handling, and ergonomics.

• Coordinate occupational health surveillance programmes (audiometry, spirometry, medical fitness assessments) for warehouse and workshop employees.

• Manage First Aid facilities, First Aiders, and emergency medical response arrangements.

• Ensure proper selection, issuance, training, and enforcement of Personal Protective Equipment (PPE) for all tasks.

• Monitor and control fatigue, heat stress, and other health risks relevant to warehouse and workshop environments.

C. Environmental Management

• Develop and implement environmental procedures covering:

-Hazardous and non-hazardous waste segregation, storage, and disposal (including used oil, filters, batteries, solvents, paints, and workshop sludge).

-Spill prevention and response (oil, fuel, chemicals).

-Air emissions, noise, and wastewater management from workshop activities.

• Ensure compliance with environmental permits and reporting requirements.

• Conduct environmental inspections and manage any contamination risks from vehicle maintenance operations.

• Promote resource efficiency (energy, water, materials) and waste minimisation initiatives.

D. Fire & Emergency Preparedness

• Maintain fire risk assessments for both warehouse storage areas and the car workshop (flammable liquids, fuels, welding, etc.).

• Ensure readiness of fire detection, alarm, suppression systems, extinguishers, and emergency lighting.

• Develop, test, and update Emergency Response Plans, evacuation procedures, and spill response plans. • Organise and lead regular emergency drills (fire, chemical spill, vehicle incident, medical emergency).

• Coordinate with external emergency services.

E. Training, Competency & Culture

• Identify training needs and deliver/organise EHS induction, toolbox talks, specific competency training (forklift, working at height, chemical handling, vehicle lift operation, LOTO, etc.).

• Maintain training matrix and records for all warehouse and workshop personnel (including contractors).

• Promote behavioural safety programmes and employee engagement activities.

• Coach supervisors and line managers on their EHS responsibilities.

F. Contractor & Visitor Management

• Implement contractor EHS pre-qualification, induction, and ongoing monitoring.

• Ensure all contractors working in the warehouse or car workshop comply with site EHS rules and permit systems.

• Control visitor access and briefings.

G. Compliance, Reporting & Continuous Improvement

• Monitor and ensure compliance with all applicable local EHS laws, regulations, and company standards.

• Prepare monthly/quarterly EHS performance reports for site and senior management.

• Support external audits, inspections by authorities, and certification processes (ISO 45001/14001 if applicable).

• Drive continuous improvement through action tracking, trend analysis, and implementation of best practices.

• Maintain all statutory registers, licenses, and documentation.

Key Accountabilities:

• Regularly review and be familiar with all applicable legislation and applicable standards to ensure compliance.

• Provide support to the Regional Safety Manager by maintaining a visible presence on the field performing

• site visits to the entire Store / DC at least once per shift,

• Follow Up on all Safety equipment & ensuring a Maintenance plan is adhered to

• Daily safety inspection done using a standardized check list

• Daily safety inspection program management- ensure weekly / monthly / annual reports are prepared, submitted to DC H&S Manager on time

• Ensure that all incidents are reported immediately.

• Ensure incident corrective actions are followed up on and completed.

• Support the Regional Safety Manager on updating the Accidents, Incidents & Near Misses on the Dashboard.

4. Key Interfaces

6. Authority & Accountability

• The EHS Safety Officer has the authority to stop any unsafe work or activity in the warehouse or workshop and is accountable for the effective implementation of the full EHS programme across the entire site.

• Educational Qualification: Bachelor Engineering or Business Administration or any other relevant.

Professional Certificates:

• Kawader License is mandatory, OSHA or NEBOSH IGC, Nebosh Certificate, ISO 4500, OSHA. or equivalent.
