Overview Of The Role
The Vehicle Registration Officer is a critical operational role within the Government Relations function, responsible for managing the end-to-end registration, renewal, transfer, and de-registration of vehicles across Al-Futtaim Automotive’s dealership network in KSA. The role acts as the central link between the retail showrooms, workshop operations, and Saudi government entities, ensuring that every vehicle delivered to a customer is fully compliant with regulatory requirements and handed over within agreed service levels.
Working closely with Sales, Aftersales, Finance, and the Senior Manager - Government Relations, the role directly impacts customer experience, delivery turnaround time, and the company’s standing with regulatory authorities such as Absher, Najiz, MVPI, MoCI, ZATCA, and Tameen. Strong process discipline, bilingual communication, and an active working knowledge of KSA traffic and registration regulations are essential to succeed in this position.
What You Will Do
Vehicle Registration & Government Transactions
- Execute and oversee daily vehicle registrations, renewals, ownership transfers, plate issuance, and de-registrations across all KSA branches under your scope.
- Process transactions on government platforms including Absher Business, Najiz, MVPI, Tamm, Fasah & Sabir in line with current regulations and service-level commitments.
- Coordinate vehicle inspections (MVPI), insurance binding (Tameen), and customs/clearance documentation where required to enable timely customer handover.
Government & Stakeholder Liaison
- Maintain strong working relationships with the Traffic Department (Moror), MoCI, SASO, ZATCA, insurance providers, and inspection centres to expedite approvals and resolve operational issues.
- Act as the primary point of contact between the Sales team, Branch Managers, and external government entities for all registration-related matters.
- Represent Al-Futtaim Automotive professionally during all on-ground government interactions, protecting the brand’s reputation and compliance standing.
Operational Excellence & Turnaround
- Monitor work-in-progress on a daily basis to ensure that registration cycle times remain within agreed KPIs and customer delivery commitments.
- Identify bottlenecks in the registration workflow and propose corrective actions to reduce processing time and rework.
- Ensure accurate handling of original documents, plates, and registration cards in line with internal custody and audit standards.
Compliance & Documentation
- Ensure full compliance with KSA traffic regulations, Saudization requirements where applicable, and Al-Futtaim internal control policies.
- Validate all registration documentation including Istimara, invoices, insurance certificates, and ownership transfer papers for accuracy before submission.
- Support internal and external audits by maintaining complete, traceable records of all government transactions.
Reporting & Systems
- Capture all registration transactions accurately in SAP and the Dealer Management System, ensuring real-time visibility for Sales, Finance, and Aftersales teams.
- Prepare daily, weekly, and monthly reports covering registration volumes, processing times, pending cases, and exceptions, with zero tolerance for data errors.
- Support the Senior Manager - Government Relations with ad-hoc analysis, regulatory updates, and process improvement initiatives.
Process Development
- Contribute to the development and continuous improvement of internal Standard Operating Procedures for vehicle registration and related government processes.
- Stay current on regulatory changes issued by Moror, MoCI, and ZATCA, and cascade impact to relevant stakeholders within the business.
Required Skills To Be Successful
- Strong working knowledge of KSA vehicle registration procedures, traffic regulations, and government e-services.
- Excellent bilingual communication skills in Arabic and English, both written and verbal.
- High level of attention to detail with a disciplined, document-driven mindset.
- Effective time management and the ability to handle multiple registration cases concurrently under tight deadlines.
- Strong stakeholder management skills with the maturity to interact with both senior internal leaders and government officials.
- Problem-solving capability to resolve registration exceptions, document discrepancies, and platform-related issues.
- Customer-focused mindset with full ownership of cases until vehicle handover is completed.
- Working knowledge of SAP or equivalent ERP and Microsoft Office, particularly Excel for reporting.
What Qualifies You For The Role
- High school certificate as a minimum; a Diploma or Bachelor’s degree in Business Administration or a related field is preferred.
- Minimum 2 to 4 years of experience in vehicle registration, government relations, or administrative roles within the automotive, leasing, or rental industry in KSA.
- Hands-on experience using Saudi government platforms such as Absher Business, Najiz, Tamm, MVPI, FASAH, Sabir.
- Previous experience in a branch or dealership environment is strongly preferred.
- Bilingual proficiency in Arabic and English is mandatory; data entry experience in both languages is essential.
- Working knowledge of SAP or a similar Dealer Management System.
- Saudi National candidates are strongly encouraged in line with Saudization objectives for the function.
