Qualifications:
§Bachelor’s degree in Business Administration, Public Administration, Facilities Management, Supply Chain Management, Industrial Engineering, or a related field.
§A minimum of 2 years of practical experience in administrative services, facilities management, operational contracts, or administrative communication and document management.
§Fluency in both Arabic and English (written and spoken).
§Proficiency in Microsoft Office and in data analysis, reporting, and dashboard tools (Excel, PowerPoint, Power BI).
§Proficiency in using administrative communication, document management, and electronic archiving systems.
§Strong analytical, follow-up, coordination, reporting, and stakeholder-management skills.
Roles and Responsibilities:
§Follow up and manage operational and service contracts and coordinate with suppliers and service providers.
§Contribute to preparing Scopes of Work (SoW) and contract requirements, and evaluate the operational performance of contracts and services.
§Review invoices and financial claims related to contracts and services and verify their compliance with the scope of work and approved performance levels.
§Monitor service performance, measure Key Performance Indicators (KPIs) and Service Level Agreements (SLAs), andprepare periodic reports.
§Track beneficiary satisfaction levels, analyze survey results, and submit improvement recommendations related to the services provided.
§Oversee catering, hospitality, food services, and administrative support services, ensuring the quality of services delivered.
§Manage and follow up on incoming and outgoing correspondence and administrative transactions through the approved systems.
§Operate administrative communication systems and manage document control and electronic archiving.
§Organize and maintain documents and records in accordance with the approved policies and procedures.
§Prepare and analyze operational data and develop reports and tracking dashboards for the department.
§Follow up on departmental initiatives and assignments and submit reports on achievements and challenges.
§Conduct field visits to service-delivery sites, including catering, hospitality, and support service facilities, and follow up on observations as well as corrective and improvement actions.
§Contribute to governance, compliance, risk management, and continuous improvement activities related to the department's scope.
Preferred:
§Experience in managing or monitoring catering, hospitality, and institutional food-service contracts.
§Experience in managing operational contracts and monitoring the performance of suppliers and service providers.
§Experience in developing and analyzing performance indicators and measuring beneficiary satisfaction.
§A professional certification in one of the following areas:
oFacilities and Services Management.
oFood Safety (HACCP or ISO 22000.
oQuality and Continuous Improvement (Lean Six Sigma).
oService Management (ITIL).
oData Analysis and Business Intelligence (Microsoft Power BI, Microsoft Excel Expert, or equivalent).
