The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.
Responsibilities
- Handle confidential information and maintain the security of the executive’s records and files.
- Plan, organize, and schedule own workload so that these activities are completed accurately and on time.
- Advises, supports, assists, coordinates, and collaborates on special projects which are highly complex, and involve creation and oversight of multifaceted teams.
- Reading reports, letters, emails, contracts, presentations and make briefs for the Executive to help him/her come up with appropriate actions and decisions.
- Screening and responding to incoming correspondence, inquiries, and phone calls.
- Arranging and attending meetings; taking and distributing minutes.
- Answer or redirect routine enquiries from internal or external sources.
- Receiving and evaluating meeting requests and business trips in terms of importance of the Executive attendance and provide him suitable advice based on the expected outcomes.
- Perform other administrative tasks using independent judgment and discretion.
Qualifications
- Minimum 7 years of experience as an executive assistant or office manager, preferably supporting a C-suite executive.
- Bachelor's degree or equivalent experience
- Proficient in Microsoft Office suite
- Experience in managing multiple priorities, administrative coordination, and logistics
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Strong written and verbal communication skills in English
