We are looking for an experienced Administrator to plan, coordinate, and oversee a range of administrative activities, ensuring smooth and efficient day-to-day operations while providing effective support to senior management and the wider team.
Key Responsibilities
- Supervise the day-to-day operations of the department and administrative staff, ensuring tasks are completed efficiently and accurately.
- Provide general administrative and clerical support, including handling phone calls, correspondence, and routine inquiries.
- Manage office supplies, stationery, and equipment, ensuring the office is adequately stocked and all equipment is properly maintained.
- Plan, coordinate, and support office activities and events, including meetings, conferences, interviews, orientations, and training sessions.
- Provide administrative support to executives, business leaders, and other senior management members.
- Coordinate meeting and teleconference arrangements, including preparing agendas, recording and distributing minutes, and following up on action items.
- Prepare, review, and distribute weekly leadership reports, monthly updates, and other management-related communications in a timely and accurate manner.
- Support the Executive Team and Leadership with the preparation and coordination of annual leadership meetings, strategic planning sessions, business meetings, and other key events.
- Prepare and edit correspondence, reports, presentations, communications, and other business documents.
- Coordinate and support the onboarding and orientation of new employees, including training arrangements and preparation of relevant materials.
- Maintain and update company policy and procedure manuals and support internal self-audit activities in line with management requirements.
- Support the implementation of HSE initiatives, participate in safety awareness activities, and assist with incident reporting and resolution in accordance with company and IMS policies.
- Ensure confidentiality, accuracy, and professionalism when handling sensitive information and administrative matters.
Qualifications & Experience
- Minimum 8 years of overall professional experience, including at least 3 years of relevant administrative experience.
- GCC experience of 2 years or more is an advantage.
- Bachelor's degree in Business Administration or a related field.
- Strong proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Strong organizational, coordination, communication, and interpersonal skills.
- Ability to manage multiple priorities, meet deadlines, and work effectively with senior management and different stakeholders.
- Previous experience in a construction, engineering, contracting, or corporate environment is preferred.
