Job Description
We are seeking an experienced Document Controller to manage and control all project documentation for a high-end hospitality development (resort and hotel). The role involves administering ACONEX EDMS, ensuring full compliance with project and client requirements, and supporting multidisciplinary teams through accurate, timely, and secure document management. This position requires 8-10 years of document control experience on large construction or hospitality projects.
What You'll Be Doing
- Manage all incoming and outgoing project documentation (drawings, specifications, RFIs, submittals, correspondence) using ACONEX EDMS in line with project procedures.
- Maintain and administer document control workflows, numbering systems, and revision control to ensure only current, approved documents are in circulation.
- Coordinate with design client, contractors, hotel operators, and internal teams to ensure timely submission, review, and approval of documents.
- Monitor document review cycles, follow up on overdue actions, and provide regular status reports and logs to project management.
- Maintain accurate and audit-ready registers, transmittals, distribution matrices, and archiving structures for all hospitality project records.
- Support and train project team members on ACONEX usage, document control procedures, and best practices specific to hospitality projects.
- Participate in internal and external audits, ensuring full compliance with client requirements, contractual obligations, and QA/QC standards.
- Prepare handover documentation sets, as-built records, and closeout documentation packages for resort and hotel operations.
What Required Skills You'll Bring
- Bachelor’s degree or diploma in Business Administration, Information Management, Engineering, or a related discipline.
- years of document control experience on construction projects, preferably including hospitality, mixed-use, or large building developments.
- Proven hands-on experience with ACONEX EDMS, including configuration of workflows, metadata, and document distribution matrices.
- Strong knowledge of document control processes, standards, and lifecycle management within a fast-paced project environment.
- Excellent organizational skills, attention to detail, and ability to manage high volumes of documentation and multiple priorities.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) with strong written and verbal communication skills in English.
What Desired Skills You'll Bring
- Previous experience on luxury hotel, resort, or large hospitality projects in the region.
- Familiarity with ISO-based quality management systems and client-specific document control requirements.
- Experience in preparing final handover documentation for operators and end-users in the hospitality sector.
- Ability to work effectively with multicultural, multidisciplinary teams and to provide guidance to junior document control staff.
