About The Role
We are seeking a highly organized and proactive
Contractor Onboarding & Access Management Coordinator to manage the end-to-end onboarding process for contractors, consultants, and temporary resources.
The role will be responsible for coordinating
onboarding documentation, approvals, access requests, system provisioning, employee IDs and badges, induction activities, and stakeholder communication to ensure every contractor is fully operational from their first working day.
The successful candidate will be comfortable working in a
banking environment, coordinating across multiple stakeholders, managing multiple onboarding activities simultaneously, and ensuring all processes comply with bank policies, security requirements, and access management controls.
Key Responsibilities
Contractor Onboarding
- Coordinate the end-to-end onboarding process for contractors, consultants, and temporary resources
- Ensure all onboarding activities are completed before the contractor's joining date
- Coordinate with hiring managers and project teams to collect all required onboarding information
- Verify contractor documentation and ensure all required documents are complete and valid
- Maintain accurate onboarding records and trackers
- Schedule onboarding activities, induction sessions, and required orientations
- Ensure all required approvals are obtained before onboarding completion
- Proactively identify and resolve onboarding delays or missing requirements
Access & System Provisioning
- Raise and coordinate system and application access requests based on approved onboarding requirements
- Track access request workflows and ensure approvals are completed within required timelines
- Coordinate with Infrastructure, Information Security, IAM, IT Service Desk, and application owners to provision required access
- Follow up on pending access requests and escalate delays where required
- Ensure contractors receive the appropriate access based on their role and approved requirements
- Support access changes, additions, and removals during the contractor lifecycle
- Ensure access provisioning follows bank security policies and least-privilege principles
ID, Badge & Physical Access
- Coordinate the issuance of employee IDs, contractor IDs, badges, and physical access
- Liaise with relevant security and facilities teams to ensure access is available before the joining date
- Track badge and physical access requests through completion
- Ensure contractors have the required physical and logical access to perform their responsibilities from Day 1
Stakeholder Coordination
- Act as the central coordination point between:
- Hiring Managers
- Project Managers
- Contractors and Vendors
- HR / People Operations
- IT Infrastructure
- IAM / Information Security
- Application Owners
- Facilities and Physical Security
- Procurement / Vendor Management
- Maintain clear communication with stakeholders throughout the onboarding process
- Provide regular status updates on onboarding progress
- Escalate blockers and overdue activities proactively
Tracking & Reporting
- Maintain centralized onboarding trackers covering contractor status, documentation, approvals, access requests, IDs, badges, and joining dates
- Monitor onboarding SLAs and identify potential delays before they impact the contractor's start date
- Prepare daily/weekly onboarding status reports for relevant stakeholders
- Track outstanding actions and ensure timely closure
- Maintain accurate records for audit and compliance purposes
Compliance & Controls
- Ensure onboarding activities comply with bank policies, security standards, access management controls, and regulatory requirements
- Verify that required approvals are obtained before granting access
- Ensure contractor access is aligned with the approved role and business requirements
- Support periodic access reviews and contractor access validation
- Ensure access is appropriately modified or revoked when contractors change roles or leave the organization
- Maintain documentation required for internal and external audits
Requirements
Requirements
- Saudi Nationals only
- 1-3 years of relevant experience in contractor onboarding, IT onboarding, access management, HR operations, IT coordination, or a similar role
- Experience working with contractors, consultants, vendors, or temporary resources in a large enterprise environment
- Strong understanding of end-to-end onboarding processes and access provisioning workflows
- Experience coordinating with IT Infrastructure, IAM, Information Security, Service Desk, and application teams
- Experience raising and tracking IT access requests and approval workflows
- Strong understanding of documentation, approval, and compliance requirements
- Experience in a banking or financial services environment is highly preferred
- Experience with ITSM / ticketing systems such as ServiceNow, Jira, BMC, or similar platforms is preferred
- Strong Microsoft Office / Excel skills for maintaining trackers and reporting
- Excellent organizational and time-management skills
- Strong follow-up and stakeholder coordination capabilities
- Ability to manage multiple onboarding requests simultaneously and work under tight deadlines
- Strong written and verbal communication skills
- High attention to detail and ability to maintain accurate records

Preferred Profile
The ideal candidate is a
hands-on onboarding and coordination specialist who is highly organized, detail-oriented, and comfortable managing multiple onboarding activities simultaneously.
The candidate should have strong experience coordinating
contractor onboarding, access requests, system provisioning, approvals, badges, documentation, and multiple internal stakeholders.
Experience within a
bank or highly regulated enterprise environment, particularly exposure to
IAM, ITSM, Information Security, and access governance processes, will be highly advantageous.
