Job Purpose

Plan, coordinate and monitor daily transportation operations so that employees, materials and equipment move safely, on time and at controlled cost. The role relies on GPS fleet tracking and the PetroApp fuel management platform for real-time vehicle monitoring, fuel control and operational reporting.

Key Responsibilities

Fleet Operations & Scheduling

• Plan and assign daily vehicle and driver schedules based on operational requirements and project priorities.
• Coordinate employee transportation (bus routes, shift changes, site transfers) and material or equipment movements.
• Handle urgent and ad-hoc transport requests and reallocate resources when needed.
• Keep accurate trip logs, vehicle assignment records and driver rosters.

GPS Tracking & Monitoring

• Monitor all fleet vehicles in real time through the GPS tracking system.
• Set up and manage geofences, routes and alerts (speeding, idling, unauthorized use, route deviation, after-hours movement).
• Analyze GPS data to improve routes, reduce mileage and raise fleet utilization.
• Investigate GPS alerts and incidents and report violations to management.
• Produce GPS reports covering trip history, mileage, driver behavior and vehicle utilization.

Fuel Management (PetroApp)

• Administer the PetroApp platform, including vehicle and driver registration, fuel limits, and authorized stations and fuel types.
• Monitor fuel transactions daily and flag abnormal consumption, duplicate fills or misuse.
• Reconcile PetroApp fuel consumption against GPS mileage to verify efficiency and detect discrepancies.
• Prepare monthly fuel consumption and cost reports by vehicle, department and project.
• Support fuel budget control and propose cost-saving measures.

Vehicle Compliance & Maintenance

• Track vehicle documentation: Istimara, insurance, Fahas (MVPI), operating cards and permits, and renew them before expiry.
• Schedule preventive maintenance based on mileage and GPS data, and follow up on repairs with workshops.
• Track traffic violations and coordinate their assignment to responsible drivers.

Driver Management

• Verify driver licenses, qualifications and document validity.
• Monitor driver performance and behavior through GPS reports and support corrective action.
• Enforce company transport safety policies and traffic regulations.

Reporting & Coordination

• Prepare daily, weekly and monthly operational reports and KPI dashboards.
• Coordinate with Operations, HR, Procurement, Finance and Project teams on transport needs and cost allocation.
• Maintain records in line with company policy and audit requirements.

Qualifications & Experience

• Diploma or Bachelor’s degree in Logistics, Supply Chain, Business Administration or a related field.
• 3 or more years of experience in transportation or fleet coordination, preferably in contracting, facilities management or industrial sectors.
• Proven hands-on experience with GPS fleet tracking systems (mandatory).
• Proven hands-on experience with the PetroApp fuel management platform (mandatory).
• Knowledge of Saudi traffic regulations and vehicle compliance requirements (Muroor, Fahas, Transport General Authority).
• Valid Saudi driving license.
