Job Description
Parsons is looking for an amazingly talented
Senior Secretary to join our team on a transformational giga-project in Tabuk, Saudi Arabia. In this role, you will provide high-level, confidential administrative and secretarial support to executive project leadership and department heads, ensuring smooth operations in a fast-paced, mega-scale engineering and construction environment.
What You’ll Be Doing
- Executive Support: Manage and coordinate complex appointment calendars, schedule high-level stakeholder meetings, and arrange extensive domestic and international travel/accommodations.
- Document Control & Correspondence: Independently compose, format, and draft executive-level correspondence, technical reports, meeting minutes, and presentations adhering strictly to Parsons' corporate standards.
- Information Management: Supervise and maintain highly organized, confidential digital and physical filing systems, ensuring seamless retrieval of project artifacts and compliance with information security protocols.
- Communication Hub: Screen and direct incoming calls, greet high-profile clients, and serve as a reliable liaison between project leadership, cross-functional engineering teams, and external stakeholders.
- Office Coordination: Oversee daily administrative workflows, manage office supplies procurement, and provide operational guidance or mentorship to junior administrative and clerical staff.
What Required Skills You’ll Bring
- Experience: Minimum of 10+ years of progressive secretarial and administrative experience, with a proven track record supporting executive management on large-scale infrastructure, construction, or engineering projects.
- Education: High School Diploma or equivalent; an Associate’s or Bachelor’s degree in Business Administration or a related field is highly preferred.
- Technical Savvy: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and standard document management systems (e.g., Aconex, SharePoint).
- Communication: Exceptional verbal and written English communication skills; ability to draft clear, professional correspondence independently.
- Adaptability: Demonstrated capability to work effectively under pressure, multitask, and maintain extreme confidentiality within a dynamic, multi-cultural project environment.
What Desired Skills You’ll Bring
- Prior experience working on a Saudi Arabian Giga-Project (such as NEOM, The Line, or Oxagon) or within the GCC region.
- Fluency or basic professional proficiency in Arabic is a significant plus.
- Familiarity with project management tracking tools (e.g., JIRA, Smartsheet).
