Primary objective:
The Procurement Specialist will support the Procurement & Purchasing Manager in executing procurement activities and ensuring efficient sourcing, purchasing, and supplier management. The role focuses on operational procurement tasks, maintaining compliance with policies, and contributing to the optimization of procurement processes.
Areas of responsibility:
- Execute purchase requisitions, create purchase orders, and follow up on delivery timelines.
- Maintain and update procurement records and documentation.
- Assist in evaluating vendor proposals and preparing procurement contracts.
- Coordinate with suppliers to ensure timely delivery of goods and services.
- Support supplier evaluation processes, including performance assessments.
- Handle routine communications with suppliers to resolve issues.
- Ensure compliance with procurement policies and legal standards.
- Monitor and report on procurement key performance indicators (KPIs).
- Identify opportunities for cost savings within assigned procurement tasks.
- Support Procurement & Purchasing Manager in achieving budget targets.
- Work closely with internal stakeholders to meet procurement requirements.
- Support cross-functional teams during procurement projects.
- Assist the Procurement & Purchasing Manager with market research and supplier sourcing.
- Use Oracle ERP to streamline procurement workflows, track transactions, and generate reports.
- Suggest improvements for better utilization of Oracle ERP in procurement workflows.
- Maintain and update procurement systems to ensure data accuracy.
- Suggest process improvements to enhance operational efficiency.
- Prepare and generate regular procurement activity reports for review.
- Undertake additional duties as and when required by the line manager.
Safeguarding:
- The post holder will be required to safeguard and promote the welfare of children and young people and follow the school’s safeguarding policies and the staff code of conduct. They will directly support the designated safeguarding lead as a priority to ensure the safety and wellbeing of all students at the school.
Qualifications:
- Bachelor's degree in business, supply chain management, procurement, or any related field (essential).
Experience:
- +3 years relevant experience.
- Familiarity with supplier sourcing and operational procurement processes.
- Familiarity with Oracle ERP systems in procurement activities.
Skills, Knowledge and Abilities:
- Strong organizational and time management skills.
- Effective written and verbal communication skills (Arabic and English).
- knowledge of procurement regulations and compliance standards.
- Problem-solving and decision-making skills.
- Proficiency in data entry and maintaining accurate procurement records.
- Knowledge in Oracle ERP procurement modules.
- Analytical skills for procurement reporting and data management.
