Job Summary:
The Executive Secretary provides high-level administrative support to senior management, ensuring smooth daily operations, effective communication, and proper coordination of meetings, schedules, and confidential documents.
Key Responsibilities:
- Manage the executive’s calendar, appointments, meetings, and travel arrangements.
- Prepare correspondence, reports, presentations, meeting agendas, and minutes.
- Screen and manage phone calls, emails, visitors, and internal requests.
- Coordinate communication between senior management, employees, clients, and external parties.
- Organize meetings, conferences, and business events.
- Maintain confidential records, contracts, and executive files.
- Track assigned tasks and follow up with relevant departments.
- Handle office administration and resolve routine operational matters.
- Process expense reports, invoices, and other administrative documents.
- Perform additional duties assigned by senior management.
Qualifications:
- Bachelor’s degree in Business Administration, Office Management, or a related field.
- Minimum 3-5 years of experience as an Executive Secretary, Executive Assistant, or similar position.
- Excellent written and verbal communication skills.
- Strong proficiency in Microsoft Office, particularly Word, Excel, PowerPoint, and Outlook.
- Excellent organizational, time-management, and multitasking abilities.
- Professional appearance and strong interpersonal skills.
- High level of confidentiality, accuracy, and attention to detail.
