Key Responsibilities

Dispatch Planning & Coordination

• Plan, schedule, and coordinate daily dispatch of finished goods to customers and distribution centers.
• Assign delivery vehicles and drivers based on delivery priorities and route optimization.
• Coordinate with Warehouse, Production, Sales, and Customer Service departments regarding dispatch schedules.
• Ensure all deliveries are dispatched according to customer requirements and delivery commitments.
• Prioritize urgent shipments while maintaining operational efficiency.

Transportation Management

• Monitor vehicle movements using GPS or fleet management systems.
• Coordinate loading and unloading schedules.
• Ensure maximum vehicle utilization and minimize transportation costs.
• Track delivery progress and proactively resolve delays.
• Maintain communication with drivers throughout the delivery process.

Documentation & Compliance

• Prepare and verify dispatch documentation including:
• Delivery Notes
• Packing Lists
• Gate Passes
• Invoices
• Shipping Documents
• Material Transfer Notes
• Ensure compliance with company policies and Saudi transportation regulations.
• Maintain accurate dispatch records and documentation.

Inventory & Warehouse Coordination

• Coordinate with warehouse personnel to ensure correct products and quantities are loaded.
• Verify dispatch against approved sales orders.
• Ensure FIFO/FEFO principles are followed where applicable.
• Report shortages, damaged goods, or discrepancies immediately.

Customer Coordination

• Inform customers regarding delivery schedules.
• Respond to delivery inquiries.
• Coordinate special delivery requirements.
• Resolve delivery-related issues promptly.

Fleet Coordination

• Coordinate vehicle availability and scheduling.
• Monitor fuel consumption and mileage records.
• Coordinate routine maintenance and repairs with Fleet Maintenance.
• Report vehicle breakdowns immediately.
• Ensure vehicles remain roadworthy and compliant.

Reporting

• Prepare daily dispatch reports.
• Maintain vehicle utilization reports.
• Prepare delivery performance reports.
• Track On-Time Delivery (OTD) KPIs.
• Report dispatch issues and recommend improvements.

Safety & Compliance

• Ensure safe loading practices.
• Verify vehicle weight compliance.
• Follow HSE policies and procedures.
• Ensure drivers comply with company safety standards.

Qualifications

• Diploma or Bachelor's degree in Logistics, Supply Chain, Business Administration, or a related field.
• 3-5 years of experience in dispatch, logistics, transportation, or warehouse operations within a manufacturing environment.
• Experience working with ERP systems (SAP, Oracle, Microsoft Dynamics, etc.).
• Familiarity with Saudi transportation regulations is preferred.
