Job Summary
HanmiGlobal Saudi is seeking a highly organized and experienced
Senior Document Controller (Infrastructure) - LDIP to manage and oversee all project documentation and document control activities across infrastructure and land development projects. The successful candidate will be responsible for ensuring the accuracy, integrity, distribution, and compliance of project documentation throughout the project lifecycle. This role requires extensive experience in document control within PMC or engineering consultancy environments, strong knowledge of document management systems, and the ability to coordinate effectively with multidisciplinary teams, clients, consultants, and contractors to maintain efficient document flow and compliance with project governance requirements.
Key Responsibilities
Document Control Management
- Manage the end-to-end document control process for infrastructure and land development projects.
- Ensure all incoming and outgoing project documents are accurately logged, distributed, tracked, and archived.
- Maintain document numbering, revision control, transmittals, and document registers in accordance with project document control procedures.
- Verify document quality, completeness, and compliance before distribution.
Document Management Systems
- Administer and maintain Electronic Document Management Systems (EDMS) such as Aconex, Autodesk Construction Cloud (ACC), SharePoint, or other approved platforms.
- Monitor document workflows, approvals, and review cycles to ensure timely processing.
- Ensure document metadata, filing structures, and naming conventions comply with project standards.
Project Coordination
- Coordinate with project managers, design managers, engineers, consultants, contractors, and clients regarding document submissions and approvals.
- Support multidisciplinary teams by ensuring timely access to the latest approved documents.
- Monitor document review status and proactively follow up on overdue actions.
Quality & Compliance
- Ensure compliance with company document control procedures, project requirements, and client standards.
- Maintain accurate audit trails for all document transactions.
- Support internal and external audits by providing document records and evidence of compliance.
- Safeguard confidential and sensitive project information.
Reporting
- Prepare weekly and monthly document control reports, including submission status, overdue documents, and document approval metrics.
- Maintain document registers, transmittal logs, drawing registers, and correspondence logs.
- Provide document status reports to project leadership and clients as required.
Continuous Improvement
- Recommend improvements to document control processes and workflows.
- Support the implementation of digital document management solutions and automation initiatives.
- Provide guidance and mentoring to junior document controllers where applicable.
Qualifications
- Bachelor's degree in Business Administration, Information Management, Engineering, or a related discipline.
- Professional certification in Document Control or Information Management is an advantage.
Experience
- Minimum 7-10 years of document control experience within PMC, engineering consultancy, construction, or infrastructure projects.
- Proven experience supporting land development, infrastructure, roads, utilities, or mega projects.
- Experience managing engineering drawings, technical documents, RFIs, submittals, specifications, reports, and project correspondence.
