Olive Tree Consulting is looking for a Project Administrator to join our team in a full-time, permanent capacity. This role supports our core advisory work as we assist our partner, a major Saudi organization, in refining their management rhythms and structural habits. You will help ensure that our project documentation is precise and that the logistics of our remote advisory sessions run without friction.
About the Role
This position is the anchor for our consulting engagements. While our advisors focus on high-level strategy and structural habits, the Project Administrator ensures that no detail is lost in the process. We believe that memory is not a management system, so your work centers on creating and maintaining the written record that allows a large organization to move forward. You will be responsible for the administrative pulse of our remote work, making sure that every meeting results in clear actions and that every project folder is organized for easy use. This is a fully remote role that requires a high degree of organization and a focus on clarity.
What You Will Do - Attend remote advisory sessions to capture accurate, plain-language notes and decision logs.
- Organize digital project workspaces to ensure all files and templates are current and accessible.
- Coordinate schedules for complex, multi-party meetings across different time zones.
- Track project timelines and send gentle reminders to team members about upcoming deadlines.
- Draft weekly status updates that summarize progress without using unnecessary jargon.
- Prepare meeting agendas and distribute background materials well in advance.
- Help refine our internal administrative processes to make them simpler and more efficient.
- Maintain project contact lists and ensure all communication channels remain active.
- Ensure that all recorded actions have a clear owner and a specific deadline.
What We Are Looking For
We value people who find satisfaction in order and clarity. You should be someone who naturally notices when a decision has been made but not recorded, or when a file is in the wrong place. Since we work remotely, you need to be comfortable managing your own time and staying focused without direct supervision. Good written English is essential because we prefer clear notes over long presentations. We need someone who is calm when schedules change and who can communicate clearly with different types of people. A high level of reliability and a commitment to accuracy are more important to us than years of corporate experience.
Helpful Background - Basic familiarity with project management tools or shared document platforms.
- Previous experience in a role that required high attention to detail, such as data entry or coordination.
- A background in administrative work, even if it was part of a school project or a brief internship.
- Strong proficiency in standard office software for word processing and spreadsheets.
- An interest in how organizations work and how they can be made to run more smoothly.
- The ability to summarize long conversations into short, actionable bullet points.
What We Offer
This is a fully remote position, allowing you to work from a professional environment that suits your needs. We provide a competitive and attractive salary for this entry-level role, recognizing the importance of the support you provide to our team. You will have the chance to see how a focused advisory practice operates and contribute to a significant project for a major Saudi partner. Our culture is professional and supportive, focusing on doing good work during work hours so that everyone has a clear separation between their job and their personal life.
About Olive Tree
Olive Tree Consulting Group is a focused advisory practice that helps leadership teams solve recurring management issues. We typically work on the space between strategy and daily execution. A team can have very capable people and still find that decisions keep reopening, priorities stall, or responsibility remains unclear. These are rarely personality problems: they are structural habits that have not kept up with the company growth.
We favor practical changes over large-scale transformation programs. Our work involves looking at how decisions are made, how meetings are run, and how ownership is recorded. We prefer useful written notes and clear ownership over polished presentations and vague alignment. Good advisory work should make things plainer and leave the team with a rhythm they can continue on their own.
The firm is built on the principle that memory is not a management system. We help teams create the smallest possible written record to support their work so that important follow-up does not depend on who was in the room or who has the best memory. The goal is a quieter management pattern that makes the existing work easier to lead.
