The Crew Logistics Coordinator is responsible for ensuring smooth and efficient functioning of flyadeal operations, overseeing the logistical coordination of crew members, including hotel and transport arrangements, and ensuring that crew members are properly accommodated during layovers and that they have seamless transportation to and from hotels, airports, and other locations according to company policy.
Key Responsibilities:
- Coordinate hotel accommodations for crew members during layovers, ensure that accommodations meet flyadeal standards for safety, comfort, and convenience.
- Esnure that all logistical coordinations are conducted with the hightest level of customer service.
- Maintain relationships with partner hotels and contracts validity.
- Monitor and manage hotel bookings, cancellations, and changes as per crew scheduling requirements.
- Ensure on time submission of travel authorization for approvals.
- Arrange ground transportation for crew members, including shuttle services, and other transportation modes as needed and in accordance to company policy.
- Coordinate transportation to and from airports, hotels, and other designated locations, taking into account crew schedules and flight operations.
- Communicate with crew members, hotel staff, transportation providers, and other relevant parties to ensure seamless logistics and resolve any issues that may arise.
- Maintain accurate records of hotel and transport arrangements, and any relevant information to facilitate future bookings.
- Ensure compliance with flyadeal policies, and safety standards in all aspects of crew logistics coordination.
- Seek cost-effective solutions regarding hotel accommodations and transportation services, without compromising on quality or safety.
- Verify and validate all logistics-related invoices.
- Coordinate emergency accommodations and transportation arrangements, when necessary, work closely with the operations team to minimize disruptions to crew
- schedules.
- Support Advance Passenger Information (APIS) and Advance Passenger Processing (APP) submissions for crew, ensuring accurate and timely transmission to relevant authorities and systems in compliance with immigration and regulatory requirements.
- Verify and ensure crew entry requirements are met prior to travel, including valid passports, visas, and destination-specific immigration or regulatory documentation, escalating issues where necessary to prevent operational disruption.
- Submit crew declaration to authorities including changes.
- High school certificate, Preferrable bachelor’s degree in business administration, hospitality management, Logistics, Aviation Management or any related field.
- Fluency in English. Additional Languages will be desirable.
- Minimum 2 years of experience in logistics field, experience in aviation industry is a plus.
- Knowledge of travel, accommodation, and transportation coordination processes.
