Contract Administrator (Saudi National) to join our
PMCM team!
The Contract Administrator will support the administration and management of project contracts across the Airport / Infrastructure / Airfield project. The role will ensure that contractual requirements, notices, correspondence, submissions, approvals, variations, claims, and commercial obligations are properly managed, recorded, and tracked in accordance with the Contract and project procedures.
The position will work closely with the Commercial, Cost, Contracts, Planning, Engineering, Construction, Procurement, Project Controls, and Project Management teams, as well as Contractors, Consultants, and Client representatives.
Key Responsibilities
- Support the administration of project contracts in accordance with contractual requirements.
- Maintain accurate and up-to-date contract registers and records.
- Monitor contractual obligations, deliverables, notices, and submission requirements.
- Prepare, issue, and track contractual correspondence and notices.
- Maintain records of all contractual communications with the Client, Contractors, and Consultants.
- Monitor contractual deadlines and ensure timely submissions.
- Support the preparation and administration of Variations / Change Orders.
- Maintain Variation and Change Registers.
- Support the preparation, review, and submission of claims.
- Track Extension of Time (EOT) submissions and related contractual correspondence.
- Monitor Contractor and Subcontractor compliance with contractual requirements.
- Coordinate with the Cost and Commercial teams regarding financial and contractual impacts.
- Review contractual documentation and identify potential risks and obligations.
- Support management of contractual deliverables, approvals, and responses.
- Assist in preparation of contractual reports and dashboards.
- Maintain an organized and auditable contract administration system.
- Support commercial meetings and prepare minutes and action trackers.
- Escalate overdue approvals, responses, and contractual actions to the relevant management.
- Ensure all contract records are properly maintained for future reference and potential claims.
Contract Administration
- Maintain Contract Registers and Contract Data Sheets.
- Track key contractual dates and milestones.
- Monitor:
- Notice Requirements
- Submission Deadlines
- Approval Periods
- Response Periods
- Payment Milestones
- Variation Instructions
- Claims
- EOTs
- Bonds & Guarantees
- Insurances
- Contractual Deliverables
- Monitor compliance with notice and notification requirements.
- Prepare draft contractual notices and correspondence for management review.
- Ensure contractual communications follow approved project procedures.
- Maintain records of instructions, approvals, rejections, and Client responses.
Variations & Change Management
- Support administration of Client and Contractor variations.
- Maintain the Variation / Change Register.
- Track status of:
- Change Requests
- Variation Orders
- Change Proposals
- Commercial Evaluations
- Client Approvals
- Coordinate with Cost Engineers and Commercial Managers to ensure financial impacts are captured.
- Monitor outstanding approvals and escalate delays.
- Maintain supporting documentation for each variation.
- Ensure approved changes are properly incorporated into contract records.
Claims & EOT Support
- Support preparation and administration of contractual claims.
- Maintain claim registers and supporting documentation.
- Track contractual events and potential entitlement.
- Coordinate with Planning teams regarding delay and EOT documentation.
- Maintain records of delay notices, instructions, RFIs, approvals, and correspondence.
- Support preparation of claim narratives and supporting records.
- Track Client responses and approval status.
- Escalate outstanding contractual responses where required.
Commercial Coordination
- Coordinate closely with Commercial and Cost teams.
- Support preparation of commercial reports and dashboards.
- Ensure contractual changes are reflected in commercial records.
- Track commitments, variations, claims, and commercial correspondence.
- Support reconciliation of contract records with cost reports.
- Identify contractual issues that may have financial or schedule implications.
- Assist in maintaining accurate records for final account preparation.
Contractor & Subcontractor Administration
- Monitor Contractor compliance with contractual obligations.
- Track Contractor submissions, notices, approvals, and responses.
- Maintain Contractor correspondence registers.
- Support administration of Subcontractor contractual matters.
- Monitor performance-related contractual requirements.
- Support management of Contractor claims and variations.
- Escalate overdue contractual actions.
Reporting & Documentation
- Prepare weekly and monthly contract administration reports.
- Maintain:
- Contract Register
- Correspondence Register
- Variation Register
- Claims Register
- EOT Register
- Notice Register
- Instruction Register
- Approval Tracker
- Provide management with regular updates on outstanding contractual matters.
- Identify overdue actions and potential contractual risks.
- Ensure contract documentation is properly filed and traceable.
Qualifications & Experience
- Bachelor's Degree in Engineering, Quantity Surveying, Construction Management, Business Administration, Law, or a related discipline.
- Minimum 5 years of relevant experience in contract administration within construction, infrastructure, or engineering projects.
- Experience on major airport, infrastructure, transportation, or large-scale development projects is preferred.
- Good understanding of construction contracts and contract administration principles.
- Experience with variations, claims, EOTs, notices, correspondence, and contractual records.
- Familiarity with FIDIC or other major construction contract forms is preferred.
- Good understanding of commercial and project control processes.
- Strong document management and reporting skills.
- Excellent communication, coordination, organization, and analytical skills.
