Job Description
Parsons is looking for an amazingly talented
Document Controller to join our team! In this role you will get to support the effective management, control, distribution, and tracking of project documentation across engineering, construction, project management, and other project functions. You will help ensure that documents are accurately registered, reviewed, distributed, stored, and maintained in accordance with established project procedures, client requirements, and document control standards.
What You'll Be Doing
- Perform document control activities for assigned projects or departments in accordance with established procedures and guidelines.
- Coordinate the flow of documents between project management, engineering disciplines, construction teams, clients, suppliers, and other project stakeholders.
- Process project documents through required review, approval, distribution, and closeout workflows.
- Ensure compliance with established document control requirements, including document numbering, revision control, approval requirements, status codes, and distribution protocols.
- Receive, register, track, monitor, and distribute incoming and outgoing project documentation.
- Maintain accurate document registers, databases, logs, transmittals, correspondence records, and other document control reports.
- Use Electronic Document Management Systems (EDMS) and project-specific platforms to manage project documentation and maintain accurate records.
- Monitor document review cycles and follow up with responsible parties to ensure timely review, approval, and release.
- Expedite outstanding documents, signatures, approvals, and supplier submissions to support project schedules.
- Maintain controlled distribution systems and document distribution matrices based on client, project, department, and supplier requirements.
- Ensure that current and approved versions of documents are available to authorized project personnel.
- Maintain document revision history and ensure superseded documents are appropriately identified, archived, and controlled.
- Scan, upload, index, classify, and archive documents for electronic storage and retrieval.
- Perform quality checks on documentation to verify completeness, accuracy, numbering, revision status, and required approvals.
- Produce periodic document status reports and identify overdue or outstanding documentation requiring follow-up.
- Support engineering and construction teams with document retrieval, status verification, and document control queries.
- Maintain confidentiality and appropriate access controls for project and client documentation.
- Assist junior Document Controllers and Coordinators with the implementation of project-specific document control procedures.
- Support project audits by ensuring documentation and transaction records are complete, organized, traceable, and audit-ready.
- Assist with project closeout, document archiving, and final handover documentation as required.
- Perform general administrative and clerical activities associated with the document control function when required.
- Contribute as a collaborative team member while managing multiple priorities and project deadlines.
- Perform other responsibilities associated with this position as appropriate.
What Required Skills You'll Bring
- High School Diploma or equivalent qualification.
- Minimum 4+ years of relevant work experience, including at least 3+ years of document control experience.
- Practical experience performing document control activities within engineering, construction, infrastructure, or project-based environments.
- Working knowledge of document control processes, procedures, and industry practices.
- Experience using Electronic Document Management Systems (EDMS) to register, track, distribute, retrieve, and archive project documentation.
- Experience maintaining:
- Document registers
- Transmittals
- Correspondence logs
- Revision records
- Distribution matrices
- Approval and review workflows
- Understanding of document numbering, revision control, document status, approval processes, and controlled distribution requirements.
- Ability to monitor document workflows and follow up on outstanding reviews and approvals.
- Strong proficiency in Microsoft Office applications, particularly:
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
- Microsoft Outlook
- Strong organizational and time-management skills.
- High level of accuracy and attention to detail.
- Good written and verbal communication skills.
- Strong interpersonal skills with the ability to coordinate effectively with project personnel and management.
- Ability to manage multiple documents, priorities, and deadlines simultaneously.
- Ability to work effectively both independently and within multidisciplinary project teams.
What Desired Skills You'll Bring
- Experience supporting major infrastructure, engineering, construction, or program management projects.
- Experience using document management platforms such as Oracle Aconex, Autodesk Construction Cloud (ACC), SharePoint, or similar systems.
- Familiarity with engineering and construction documentation, including drawings, technical submittals, RFIs, specifications, reports, and supplier documentation.
- Experience working within PMC, Delivery Partner, EPC, consultancy, or client-side project environments.
- Knowledge of document control requirements throughout design, procurement, construction, commissioning, and project closeout.
- Experience supporting project document audits and quality reviews.
- Familiarity with document retention, archiving, and project handover requirements.
- Experience providing technical guidance to junior document control personnel.
- Strong customer-service mindset when supporting project teams, clients, and external stakeholders.
- Ability to identify document control issues and recommend practical improvements to workflows and procedures.
