Saudi National to join our team!
The Document Control Lead will be responsible for leading and managing the project document control and information management function, ensuring that project documentation is properly controlled, distributed, tracked, archived, and maintained throughout the project lifecycle.
The role will establish and maintain document control processes, ensure compliance with project and client requirements, and coordinate document workflows across Engineering, Procurement, Construction, Quality, HSE, Commercial, Planning, Commissioning, Contractors, Consultants, and other stakeholders.
What You'll Be Doing
- Lead and manage the Document Control function across the project.
- Establish, implement, and maintain the Project Document Control Procedure and document management workflows.
- Develop and maintain the project Document Management System (DMS) and document control registers.
- Ensure all project documents are properly registered, classified, controlled, distributed, and archived.
- Manage document numbering, naming conventions, revision control, status codes, and metadata requirements.
- Establish and maintain Document Control Registers, Drawing Registers, Transmittal Registers, Submittal Registers, RFI Registers, and Technical Query Registers.
- Ensure all incoming and outgoing project documentation is processed accurately and within required timelines.
- Manage document workflows between the Client, Consultant, Contractor, Design Teams, and Project Management.
- Review documents for completeness, correct formatting, document numbering, revision status, and required metadata prior to formal submission.
- Ensure documents are issued and distributed only to authorized recipients and relevant project stakeholders.
- Maintain strict control of approved, superseded, obsolete, and as-built documentation.
- Ensure superseded documents are properly identified, withdrawn, and archived to prevent unintended use.
- Manage the submission and review process for drawings, specifications, calculations, reports, method statements, material submittals, ITPs, RFIs, technical submissions, and other project records.
- Track document review cycles and ensure comments and responses are properly recorded and returned within agreed timelines.
- Monitor overdue document submissions, reviews, approvals, and responses and escalate delays to the relevant teams.
- Coordinate with Engineering, Construction, Quality, Planning, Commercial, Procurement, and Commissioning teams to ensure timely document submissions.
- Maintain accurate records of document status, including Submitted, Under Review, Approved, Approved with Comments, Rejected, Superseded, and As-Built.
- Manage document transmittals and ensure all formal document exchanges are properly recorded.
- Coordinate electronic and hard-copy document distribution where required.
- Maintain document archives and ensure long-term accessibility and traceability of project records.
- Ensure document control systems comply with client, contractual, project, and information management requirements.
- Support implementation of project Information Management / Document Management standards.
- Coordinate with BIM and Digital Engineering teams regarding model and information exchange requirements.
- Ensure appropriate control of BIM models, drawings, technical data, and digital project information where applicable.
- Support document control requirements associated with BIM and Common Data Environment (CDE) workflows.
- Monitor document control performance and prepare regular document status and performance reports.
- Develop dashboards and KPIs covering document submissions, approvals, overdue documents, turnaround times, and outstanding actions.
- Maintain a comprehensive Master Document Register (MDR) and ensure it remains current.
- Conduct periodic audits of document control records and systems to verify compliance.
- Support internal, client, consultant, and third-party audits by providing accurate documentation and records.
- Ensure project records are complete, traceable, and suitable for contractual and legal purposes.
- Support the management of Requests for Information (RFIs), Technical Queries (TQs), Site Instructions, Design Changes, and other controlled correspondence.
- Ensure correspondence is properly logged, referenced, distributed, and archived.
- Coordinate with Commercial and Contracts teams regarding document requirements associated with claims, variations, notices, and contractual correspondence.
- Support Planning and Project Controls teams with documentation required for progress reporting and project records.
- Ensure commissioning and handover documentation is properly controlled and tracked.
- Coordinate final as-built drawings, O&M manuals, test reports, warranties, certificates, and handover dossiers.
- Establish document closeout requirements and monitor completion of project records prior to handover.
- Train and guide Document Controllers and project team members on document control procedures and system usage.
- Allocate workloads and monitor performance of the Document Control team.
- Review and approve document control deliverables before formal issuance where required.
- Establish consistent document control practices across contractors, consultants, and project packages.
- Identify process gaps and implement improvements to enhance document accuracy, traceability, and efficiency.
- Support implementation of digital document management and workflow automation initiatives.
What Required Skills You'll Bring
- Bachelor’s degree or diploma in Business Administration, Information Management, Engineering, Construction Management, or a related discipline.
- 8+ years of relevant experience in document control, information management, or project administration.
- Proven experience leading document control activities on major airport, infrastructure, construction, engineering, or large-scale development projects.
- Strong experience working with multidisciplinary project teams, contractors, consultants, and clients.
- Experience managing large volumes of technical and project documentation.
- Strong understanding of document control procedures, workflows, revision management, and document traceability.
Preferred Certifications
- Certified Document Controller / Information Management certification is an advantage.
- ISO 9001 awareness or Internal Auditor certification is preferred.
- ISO 19650 training/certification is highly desirable for BIM/information management environments.
- Aconex / ProjectWise / SharePoint / EDMS training is an advantage.
- PMP or project management training is an advantage.
