تعلن شركة ARK Projects عن توفر وظيفة مسؤول الموارد البشرية والشؤون الإدارية / مساعد تنفيذي في مكة جدة.
نبذة عن الوظيفة
نحن نبحث عن مسؤول موارد بشرية وشؤون إدارية / مساعد تنفيذي لدعم مهام الموارد البشرية والإدارية والعلاقات الحكومية والدعم التنفيذي اليومي للشركة. سيتولى هذا الدور مسؤولية حفظ سجلات الموظفين وتنسيق عمليات الموارد البشرية ودعم التوظيف والعلاقات مع الموظفين وإدارة المنصات الحكومية وتقديم الدعم الإداري السري للإدارة العليا.
المهام والمسؤوليات
- إدارة المهام اليومية للموارد البشرية وسجلات الموظفين والعقود وملفات الموظفين والوثائق المتعلقة بالموارد البشرية.
- دعم التوظيف والتأهيل ونقل الموظفين والإجازات والحضور وتنسيق الرواتب وإنهاء خدمات الموظفين.
- التعامل مع معاملات الموظفين عبر المنصات الحكومية السعودية بما في ذلك Qiwa وMudad وMuqeem وGOSI وHRSD وAjeer ووزارة الخارجية والهيئة السعودية للمهندسين والغرفة التجارية حسب الحاجة.
- مراقبة وثائق الموظفين بما في ذلك الإقامة وتصاريح العمل وجوازات السفر والعقود والتأمين وغيرها من التواريخ الهامة.
- دعم الامتثال للسعودة / نطاقات ونظام حماية الأجور (WPS) والمؤسسة العامة للتأمينات الاجتماعية (GOSI) والتأمين الطبي وقانون العمل السعودي.
- المساعدة في علاقات الموظفين والمراسلات المتعلقة بالموارد البشرية والوثائق التأديبية وتقارير الموارد البشرية وتنفيذ سياسات الشركة وإجراءاتها.
- التنسيق مع الجهات الحكومية والبنوك وشركات التأمين ووكالات التوظيف والموردين وغيرهم من أصحاب المصلحة الخارجيين حسب الحاجة.
- تقديم الدعم التنفيذي والشخصي السري للإدارة العليا بما في ذلك تنسيق التقويمات والاجتماعات وترتيبات السفر وحجوزات الطيران والفنادق وجداول الرحلة والمراسلات ومتابعة المهام الموكلة.
- إعداد التقارير والخطابات والعروض التقديمية ومحاضر الاجتماعات والوثائق الأخرى التي تطلبها الإدارة.
- الحفاظ على سرية معلومات الموظفين والإدارة والشركة.
- أداء مهام أخرى في الموارد البشرية والشؤون الإدارية والدعم التنفيذي يكلف بها من قبل الإدارة.
- دعم تطوير وتنفيذ ومراقبة وتحسين سياسات الموارد البشرية الداخلية والإجراءات وإجراءات التشغيل المعيارية.
- تعزيز ثقافة عمل إيجابية من خلال التواصل الواضح مع الموظفين ومبادرات مشاركة الموظفين ودعم رفاهية الموظفين.
- دعم أنشطة إدارة الأداء بما في ذلك تنسيق مراجعات الأداء ومتابعة الإجراءات المتفق عليها والوثائق ذات الصلة.
- مراقبة ودعم تحسين جودة خدمات الموارد البشرية وأوقات الاستجابة وفعالية التواصل وتجربة الموظفين في جميع أنحاء المنظمة.
- المساعدة في تطوير وتنفيذ برامج مشاركة الموظفين والتقدير والولاء والاحتفاظ بهم المصممة خصيصاً لاحتياجات الشركة.
- مراقبة اتجاهات الاحتفاظ والاستنزاف وإعداد التقارير والتوصيات ذات الصلة للإدارة.
- التنسيق ودعم برنامج Great Place to Work الخاص بالشركة والمبادرات المتعلقة بتجربة الموظف.
- العمل عن كثب مع الإدارة لتحديد فرص تحسين التعاون بين الأقسام والإنتاجية ورضا الموظفين.
الشروط والمتطلبات
- درجة البكالوريوس أو دبلوم في الموارد البشرية أو إدارة الأعمال أو مجال ذي صلة.
- 2-4 سنوات من الخبرة ذات الصلة، ويفضل أن يكون ذلك في المملكة العربية السعودية.
- معرفة جيدة بالمنصات الحكومية السعودية المتعلقة بالموارد البشرية والعمل والعمليات.
- خبرة عملية في Qiwa وMudad وMuqeem وGOSI وHRSD والأنظمة الحكومية ذات الصلة.
- إتقان استخدام Microsoft Office، خاصة Word وExcel.
- مهارات قوية في التنظيم والتواصل والتنسيق وإدارة الوقت.
- القدرة على التعامل مع المعلومات السرية بشكل مهني وحذر.
- مهارات كتابية ولفظية جيدة في اللغتين العربية والإنجليزية.
- القدرة على إدارة أولويات متعددة والعمل بفعالية مع الموظفين والإدارة وأصحاب المصلحة الخارجيين.

We are seeking an HR & Administration Officer / Executive Assistant to support the day-to-day HR, administrative, government relations, and executive support functions of the company. The role will be responsible for maintaining employee records, coordinating HR processes, supporting recruitment and employee relations, managing government platforms, and providing confidential administrative support to senior management.
Key Responsibilities
• Manage day-to-day HR administration, employee records, contracts, personnel files, and HR documentation.
• Support recruitment, onboarding, employee transfers, leave, attendance, payroll coordination, and employee offboarding.
• Handle employee-related transactions through Saudi government platforms, including Qiwa, Mudad, Muqeem, GOSI, HRSD, Ajeer, MOFA, Saudi Council of Engineers, and Chamber of Commerce, as applicable.
• Monitor employee documentation, including Iqama, work permits, passports, contracts, insurance, and other relevant expiries.
• Support Saudization/Nitaqat, WPS, GOSI, medical insurance, and Saudi Labour Law compliance.
• Assist with employee relations, HR correspondence, disciplinary documentation, HR reports, and
implementation of company policies and procedures.
• Coordinate with government authorities, banks, insurance providers, recruitment agencies, suppliers, and other external stakeholders as required.
• Provide confidential executive and personal assistance to Executive Management, including calendar and
meeting coordination, travel arrangements, flight and hotel bookings, itineraries, correspondence, and followup of assigned matters.
• Prepare reports, letters, presentations, meeting minutes, and other documents as required by management.
• Maintain confidentiality of employee, management, and company information.
• Perform other HR, administrative, and executive support duties assigned by management.
• Support the development, implementation, monitoring, and continuous improvement of internal HR
policies, procedures, and standard operating procedures.
• Promote a positive workplace culture through clear employee communication, employee engagement
initiatives, and support for employee well-being.
• Support performance-management activities, including coordination of performance reviews, follow-up on agreed actions, and related documentation.
• Monitor and support improvement in HR service quality, response times, communication effectiveness, and employee experience across the organization.
• Assist in developing and implementing employee engagement, recognition, loyalty, and retention programs tailored to company needs.
• Monitor employee retention and attrition trends and prepare relevant reports and recommendations for
management.
• Coordinate and support the company's Great Place to Work program and related employee-experience
initiatives.

Qualifications & Skills
• Bachelor's degree or diploma in Human Resources, Business Administration, or a related field.
• 2-4 years of relevant experience, preferably in Saudi Arabia.
• Good knowledge of Saudi HR and labour-related government platforms and processes.
• Practical experience with Qiwa, Mudad, Muqeem, GOSI, HRSD, and related government systems.
• Proficiency in Microsoft Office, particularly Word and Excel.
• Strong organizational, communication, coordination, and time-management skills.
• Ability to handle confidential information professionally and discreetly.
• Good written and verbal communication skills in Arabic & English.
• Ability to manage multiple priorities and work effectively with employees, management, and external
stakeholders.
