المهام والمسؤوليات
- إنتاج وتحديث ودعم مجموعة واسعة من مستندات MS وقواعد البيانات والأنظمة الإدارية الأخرى لدعم عمل الزملاء الأقدم.
- إنشاء نظام محلي لإدارة المستندات للمكتب أو القسم.
- إعداد مستندات متوسطة التعقيد باستخدام تطبيقات متنوعة للأجهزة التكنولوجية مثل برامج المكتب القياسية، وجمع البيانات وتلخيصها للتقارير.
- تصميم الجدول الشهري الخاص وتوزيع العمل على الآخرين عند الحاجة لتسريع سير العمل وضمان إنجاز المهام ذات الأولوية العالية.
- تقديم الدعم التشغيلي عبر أداء أنشطة روتينية باستخدام الأنظمة والبروتوكولات الحالية.
- بناء علاقات عمل فعالة داخل المؤسسة والمساهمة في إدارة علاقات الشراكة، مع تقديم خدمات مهنية عالية الجودة ضمن الروتين المحدد أو كجزء من مشروع متفق عليه.
- تطوير المعرفة بسياسات وإجراءات المؤسسة واللوائح التنظيمية ذات الصلة لضمان الالتزام بالمعايير، والحصول على إذن من المشرف لأي استثناءات.
- إنتاج تقارير دقيقة عن طريق جمع البيانات من مصادر متنوعة وإدخالها في صيغ قياسية.
- تطوير القدرات الشخصية عبر المشاركة في أنشطة تقييم وتخطيط التطوير والتدريب الرسمي وغير الرسمي، مع متابعة أحدث التقنيات واللوائح وأفضل الممارسات.
الشروط والمتطلبات
- شهادة الثانوية العامة (Upper Secondary School) كحد أدنى.
- خبرة عملية تتراوح بين 13 شهرًا و3 سنوات كممارس متمكن قادر على العمل دون إشراف.

Responsibilities
◆ Administration
Produce, update and provide best practice support on a wide range of MS documents, databases and other departmental systems to support the work of more senior colleagues.
◆ Document Management
Create a local document management system for an office or department.
◆ Document Preparation
Prepare moderately complex documents using a variety of applications for technology devices such as standard office software. Also responsible for gathering and summarizing data for reports.
◆ Work Scheduling and Allocation
Design own monthly schedule and, if necessary, assign work to others in order to speed up office workflow and ensure high-priority tasks get done.
◆ Operations Management
Provide operational support by performing a range of route activities using existing systems and protocols.
◆ Internal Client Relationship Management
Build effective working relationships within the internal client organization and contribute to the management of the partnering relationship, delivering high-quality professional services within established routines or as part of an agreed project.
◆ Operational Compliance
Develop knowledge and understanding of the organization's policies and procedures and of relevant regulatory codes and codes of conduct to ensure own work adheres to those standards. Obtain authorization from a supervisor or manager for any exceptions from mandatory procedure.
